Inside the Intellicomp Onboarding Process: A Conversation with Our Team

Switching IT providers can feel like a big leap. Business leaders worry about downtime, dropped communication, and whether a new provider will actually take the time to understand how their business runs, not just their network.

At Intellicomp, onboarding is built to take that worry off the table. Almost 30 years into supporting businesses across the country, we’ve turned onboarding into a repeatable process: clear communication, a proactive flat-fee support model, and a strong foundation for the long term.

To pull back the curtain on how that works, we sat down with Aaron Kahn, Chief of Staff, and Steven, Onboarding Project Manager, to talk about what clients can expect when they onboard with Intellicomp.

What can clients expect when onboarding with Intellicomp?

Aaron: It starts before the agreement is even signed. Our process begins with a technology assessment, a needs analysis paired with a cost-savings analysis, so we understand the environment and what’s actually driving the client to look for a new provider, not just their device count. You can see the shape of that assessment on our FAQ page.

We also spend real time setting expectations up front: what the transition away from the current provider looks like, how licensing gets handled, and how much time we’ll need from their team. Every client’s environment is different, but the process we run them through is consistent.

Steven: By the time onboarding actually kicks off, the client already has a good sense of what’s coming out of that assessment. My job is to take that plan, execute it, and make it feel as painless as possible along the way.

What are the biggest concerns clients have before making the switch?

Aaron: Almost always, it’s “how much of this lands on my team?” Changing IT providers touches everything: logins, licensing, documentation, vendor relationships.

Steven: There’s also a real concern about whether the outgoing provider will cooperate during handoff.

Aaron: We plan for the version of this where they don’t, and hope for the version where they do.

Steven: Exactly! We’ve run enough of these transitions to keep things moving even when the outgoing provider isn’t exactly rolling out the welcome mat. Our vendor management service exists for exactly this kind of coordination.

How does Intellicomp make onboarding easier for clients?

Steven: Communication and organization. We try to be upfront about exactly what we need, when we need it, and why, so clients aren’t left guessing.

Aaron: Consistency matters too. Clients get the same level of attention in onboarding that they got during the sales process. Being the client’s single point of contact isn’t just a services-page line item. It’s how we actually operate from day one.

We’re also learning the business alongside the technology, which is what lets us build a roadmap that actually supports where the client is headed, not just what their servers look like today.

What does the onboarding timeline look like?

Steven: We actually have a name for it internally. We call it our IntelliProcess, and it runs in four phases.

The first 30 days are what we call Identify, our preboarding phase. We introduce ourselves, start gathering and documenting information about the client’s environment, and walk them through what the project will look like, including our Help Desk support procedures.

Days 31 through 60 are Implement, the actual transition. We take control of the client’s systems, push out our monitoring and automation tools, and make sure every user has clear guidelines on who we are and how to reach us.

Days 61 through 90 are Improved. We review the client’s systems and setup against IntelliComp standards, tighten up anything on the security side with IntelliSecurity, revisit compliance needs for regulated industries like healthcare or legal, and go back through the tickets from the first 60 days to see where the client needs more from us.

Aaron: And it doesn’t stop at day 90; that’s Keep Improving. Every 90 days, and again every year, we sit down for a strategic review. Onboarding gets a client stable; Keep Improving is what keeps the relationship, and the roadmap, moving forward.

Steven: We actually map the whole thing out on a one-pager if it’s easier to see at a glance.

How do you keep clients informed throughout onboarding?

Steven: A regular meeting cadence, a shared email thread for action items and updates, and a phone call when something’s time-sensitive enough to need one. For larger environments we’ll also spin up a dedicated Teams channel and give the client direct visibility into open items through the client portal.

Aaron: Having one clear owner of that communication, which is Steven’s role, keeps things from getting muddled. Clients always know exactly who to go to.

What happens if unexpected issues are discovered?

Steven: They happen. Every environment has surprises. We’ve walked into engagements and found outdated firewalls, unmanaged servers, or overlapping tools fighting each other. When we find something, our first move is to take it off the client’s plate wherever we can: either we fix it directly, or we go back to the outgoing provider through our vendor management process to get it resolved properly.

Aaron: And if something changes scope or licensing, we loop in sales and the account team so the client hears about it clearly and early. We’d rather over-communicate a surprise than let it sit.

How do sales, project management, and the account team stay aligned?

Aaron: The account team, our virtual CIO function, isn’t waiting on the sidelines during onboarding. They’re building context and relationships the whole way through, even before they’re leading day-to-day strategy.

We also try not to change things just for the sake of changing them early on. Stabilize first, understand the environment fully, then make recommendations. That’s how we protect the uptime clients are counting on.

How do you make sure what was promised is what gets delivered?

Steven: Constant communication between sales, project management, and the account team. We know what was sold, we know what’s in the agreement, and our job during onboarding is to turn that agreement into reality.

Aaron: And when we learn something new mid-onboarding, because no assessment catches everything, we document it, communicate it, and work through it with the client together. Transparency has to be held from the first sales call all the way through.

What makes Intellicomp’s onboarding different?

Aaron: We’re not just trying to keep the lights on. Clients who’ve made the switch to us often describe it as suddenly having an entire IT department behind them instead of a single overworked person or a break-fix vendor. Our goal is for every client to leave onboarding with an actual roadmap tied to their business goals, not just a support ticket queue.

Steven: For me, it’s how deep we go on documentation. Anyone can deploy monitoring agents and call it done. We document the why behind how systems are connected, so when something breaks, our engineers aren’t starting from zero. They’re picking up the context we built on day one.

What does success look like six to twelve months after onboarding?

Aaron: A client with a clear, evolving technology roadmap, a track record of regular strategy reviews, and a team that trusts we’re thinking ahead on their behalf, not just reacting to tickets. Almost 30 years in, that’s still the outcome we build every onboarding process around.
